Position Summary
An office administrator is responsible for ensuring the business runs smoothly with the tools and processes provided. The individual in this position must be able to communicate company processes/goals with customers/potential customers and employees. Often, this individual will have to order materials, create and implement new procedures, collect payment, input data, run financial reports, organize receipts and bills.
Other general tasks include the following:
- Organize photos/videos
- Schedule customer meetings
- Meet with clients/potential clients in person, over the phone and via zoom/facetime.
- As an office manager, this individual must possess the ability to stay organized and manage employees/company operations.
- The individual in this position must be a great communicator and willing to learn new systems/processes.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Reporting to manager for daily tasks via email/phone/text or in person
- Answering phones/emails, talking to existing clients, potential clients, vendors and any other person that may reach out as needed
- Submitting Miss Utility Requests
- Participating in creating/being part of content for advertising, social media, and other public relations platforms such as but not limited to making instructional videos, blog/vlog posts, creating valuable social media content, etc.
- Updating and inputting pricing on estimating software as needed
- Answer phones and emails professionally
- Help create marketing materials such as but not limited to flyers, email campaigns, yard signs, catalogs, etc.
- Communicating verbally and in writing with managers, clients/potential clients, subcontractors, vendors, and team members, etc.
- Scheduling appointments/managing company calendar
- Ensuring projects stay on schedule and are completed at the upmost quality
- Following up with past customers
- Use Customer Relationship Management Software to track and manage customer buying journey
- Manage Online Store
- Ordering materials needed for projects and stock
- Creating daily goals/tasks lists
- Participating in business development and growth strategies
- Carrying out opening and closing duties
- Performing required light maintenance of photography/videography, computer equipment
- Maintaining personal health and sanitation standards
- Reading and interpreting safety/employment manuals and other work-related documents
- Complying with safety regulations and maintaining clean and orderly facility
- Ensuring that proper safety and incident reporting procedures are followed, bringing problems to the attention of the Project Manager, Safety Director or HR Manager
- Travel to and from work sites in personal vehicle as needed to meet with crew/take photos (vehicle operating costs during such instances will be reimbursed by The Outdoor Living Company)
- Use personal cell phone as needed to create content, receive and make calls and post on internet platforms
- Performing other work-related duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Must possess or be able to obtain a valid and appropriate state driver’s license prior to employment
- Ability to work independently and complete daily activities according to work schedule
- Ability to lift heavy objects (approx.. 50lbs), walk and stand for long periods of time and perform strenuous physical labor under adverse field conditions
- Ability to communicate orally and in writing
- Ability to use equipment and tools properly and safely
- Ability to understand, follow and transmit written and oral instructions
- Ability to meet attendance schedule with dependability and consistency
- Ability to use Microsoft Office Software such as but not limited to Word, Excel, Outlook, etc.
- Ability to use or willingness to learn Quickbooks, SynkedUp and any other software needed
- Knowledge of or willingness to learn plants, paver products, wall products, naturals stone products and other products used in the landscape industry
- Ability to recognize and adapt to changes within the business/landscape industry
- Above average computer knowledge
- Above average Internet knowledge
- Ability and willingness to learn
- Any combination of education and experience that demonstrates the knowledge and ability to perform the work
- Some knowledge of proper use of equipment, materials and supplies used in heavy/highway construction work
- Some knowledge of first aid and applicable safety precautions

- During this period salary increases will be available. The Outdoor Living Company performs an annual assessment for each employee to establish a yearend bonus. This bonus is based on company earnings versus employee valuation.
